Business travel valid for all employees in Sweden, including group functions and global units:
1. Avoid travelling as far as possible.
2. All internal travel should be replaced by using virtual meeting tools.
3. Company employees will need line managers and Company’s leadership team members approval for domestic Sweden trips and CEO’s/CFO’s approval for trips outside of Sweden These approvals needs to be in place before making the booking.
4. Less than 500 km trips shall be done by train domestic Sweden.
5. For ground transportation public transport should be chosen instead of taxi or other car.
New instructions from today:
The Coronavirus is spreading fast and we needs to ensure that we take steps to keep our
employees and stakeholders safe. We have therefore decided, on the following actions that will apply
from 28 February:
1. All business travel in the Nordic/Baltic countries must be kept to a minimum.
2. As an alternative to any travel, meetings should primarily be held via telephone or video
conferencing.
3. All business travel to any location outside of the Nordic/Baltic countries must be approved by a
GEM member.
4. Any business-critical travel to the countries/areas affected by the Coronavirus is prohibited
unless a specific approval has been received by the Group CEO. We are currently applying the list
of countries/areas identified by the European Centre for Disease Prevention and Control (ECDC)
as follows:
Hong Kong
China
Iran
Italy (Emilia-Romagna, Lombardy, Piedmont, Veneto)
Japan
Singapore
South Korea
The ECDC is constantly updating this list as the transmission of the virus spreads and we as a
Company will continue to evaluate the countries/areas identified from our perspective. This
list is therefore subject to change.
5. Employees who have been to or travelled through one of these listed
countries/areas since February 17 should not return to the workplace for 14 days but instead
work from home in dialogue with your manager. This applies to all employees regardless of the
display of any symptoms.
6. We also recommend our employees to avoid private travel to any of the listed
countries/areas.
7. Regarding contacts with customers, suppliers or other external parties who have travelled to or
through the affected areas, no face-to-face meetings should be held but conducted primarily via
telephone or video conferencing.
8. Visitors who have travelled to or through any of the listed areas must not
enter our locations and facilities. The person responsible for inviting and/or hosting any such
visitor is the designated responsible person for ensuring that this instruction is applied correctly.
Naturally, all of us need to remain alert and pay careful attention to any signs of illness. Common signs of
infection include respiratory symptoms, fever, cough, shortness of breath and breathing difficulties. If
any signs of infection occur, the employee should contact national and local public health authorities.
Employees infected with Covid-19 must report illness in accordance with our normal
routines and inform their direct manager. The manager is responsible for informing the local HR Head.
We are monitoring the development of this situation carefully and we will continue to inform
you as we continue to engage with the relevant authorities. Any new information will be communicated
via the intranet so please keep checking the intranet pages.
This instruction applies to all individuals working in our locations and facilities (including
consultants and facility management contractors). This instruction is a Group wide instruction issued by
Group People & Brand and must be followed by all units in all markets with no local deviations.
In regards to yesterday’s information on Corona Virus we would like to emphasize a few points:

All planned travels within our department are from now cancelled. Both internal, external, conference and trainings. Please use Skype and VCR for meetings until further notice. Please cancel your planned flights and accommodations.

All Face-to-face Vendor meetings should be cancelled or handled on VCR, both on vendor’s and our premises.
